Process Architecture & Bespoke Workflow Systems
PPFC delivers process architecture reviews and bespoke workflow management systems for operations-intensive organisations. We close the gap between how your business runs and what your software does.
Based in Leicester. Built for the East Midlands and operating nationally.
The Problem
Most operations-intensive businesses don’t slow down for want of effort. They slow down because the way they run has quietly outgrown the tools holding it together.
Critical information lives in spreadsheets — copied, emailed, and out of date the moment it’s sent. The tools don’t talk to each other, so the same data is keyed in twice and reconciled by hand. How things really work is held in a few people’s heads, and when they’re away, the whole operation feels it. No one has a single, live view of what’s actually happening, where a job is, or what it truly costs. Off-the-shelf software was meant to fix it — but you end up working around the system instead of it working for you.
None of this means the business is broken. It means it has grown past what generic tools and manual workarounds can carry. That’s the point where a system built around how you actually work — not how a software vendor assumes you do — starts to pay for itself.
Who We Are
Precision Process Flow Consultancy Ltd (PPFC) is a UK-based consultancy specialising in process architecture and bespoke workflow management systems for operations-intensive organisations.
We don't hand you a generic product and disappear. We observe how your operation actually works, map what is and what should be, and build the system that closes the gap — specifically for you. Then we stay: supporting, maintaining and evolving it as your operation grows.
Our engagement model is structured in two phases: a fixed-fee process architecture review and proof of concept, followed by a fully scoped production build. Every engagement begins with discovery. Every system begins with evidence.
Femi Olulaja
Senior Full-Stack Software Engineer, Lead & Process Consultant
Senior full-stack software engineer with extensive experience building production systems for complex, multi-role operational environments. Founder and MD of PPFC, applying the same engineering rigour to bespoke workflow management systems for operations-intensive organisations across manufacturing, logistics, hospitality, and automotive.
What We Do
Every PPFC engagement covers all three — because a system built without process understanding, and a process mapped without a build plan, both fail in different ways.
01
Process Architecture Review
Structured discovery sessions with your operational team. We map the As-Is process — exactly how it works today, pain points and all — and produce the To-Be architecture: the future state your system needs to support. Delivered as a detailed written artefact with swim lane diagrams, role mapping, and open item logs.
02
Gap Analysis & Phase 2 Readiness
At the end of Phase 1 we produce a comprehensive gap analysis — the definitive document of what the production system needs to build, what it needs to integrate, and what decisions remain. It is the technical specification that makes Phase 2 a scoped, predictable, milestoned engagement rather than an open-ended build.
03
Bespoke Workflow Management System
We build the system the process review calls for — role-based access control across your actual job functions, ERP and third-party integration where required, and a hosted environment that runs your real workflow on real data. Phase 1 delivers a proof of concept. Phase 2 delivers the production system.
Industries
PPFC's methodology applies wherever multi-role workflows, real-time operational visibility, and system integration are genuinely critical — not aspirational.
Manufacturing & Engineering
Shop floor workflow management from quotation through to job closure. Labour tracking, procurement, build completion, financial visibility — integrated and role-appropriate.
Logistics & Distribution
Route management, warehouse operations, dispatch tracking, and delivery confirmation — where paper-based or spreadsheet-driven processes create operational blind spots.
Hospitality & Operations
Operational workflow management for hospitality businesses where fragmented processes, high staff turnover, and multi-site complexity create daily operational blind spots.
Automotive & MOT Compliance
Workflow management for garages, MOT compliance operations, and fleet businesses where regulatory requirements, job tracking complexity, and third-party national data integration create operational gaps.
How We Work
Every PPFC engagement follows the same structure — because the structure is what makes the outcome predictable.
Phase 1 — Fixed Fee
Process Architecture Review & Proof of Concept
We begin with structured discovery sessions with your operational team — observing, questioning, and mapping how your business actually works today. From this we produce the Process Architecture Review: a detailed As-Is and To-Be map of your operation, with pain points annotated, open items documented, and the future state designed. We then build a working proof of concept — a hosted demonstration environment running your workflow on representative data — and deliver a comprehensive Gap Analysis as the specification for Phase 2.
Phase 2 — Milestoned
Full Production Build & Integration
Phase 2 begins with a Detailed Technical Specification — the complete build blueprint produced before a single line of production code is written. The build is structured across defined milestones, each with a payment point and a clear deliverable. No scope creep, no open-ended timelines. The production system is built to your specification, with role-based access control, ERP integration where required, and a post-delivery support and maintenance retainer.
Reference Engagement
The following system was designed and built by Femi Olulaja — the professional track record that underpins PPFC's methodology.
Reference Engagement
Sapcote Engineering Ltd
Precision Engineering · Leicester, UK
Femi Olulaja designed and built a bespoke shop floor workflow management system for Sapcote Engineering Ltd — a Leicestershire precision engineering manufacturer — in 2009. The system covered works order management, labour time capture, job completion tracking, scrap reporting, and procurement, replacing a paper-based and spreadsheet-driven process and giving management real-time visibility of production status and job costs for the first time. Femi maintained and extended the system in live production for 15 years as the business grew in scale and complexity. When Sean Maguire sold the business to a larger engineering group, the group chose to adopt the system — which the team called the Femi System — across its own engineering operations rather than replace it. A bespoke build so well-fitted to the work that the group carried it into its wider operations.
